Microsoft 365 or Google Workspace for a Small UK Business?
Both are excellent. The right choice depends on how your team works, what you already use and who will look after it.
Almost every small business ends up choosing between two cloud suites for email, calendars and documents: Microsoft 365 and Google Workspace. Both are mature, secure and reasonably priced, and either will run a small firm well. The decision is less about which is better and more about which fits the way you work.
Choose Microsoft 365 if
Your team lives in Word, Excel and PowerPoint and exchanges files with customers who do the same. You work with accountants, solicitors, councils or larger organisations that standardise on Microsoft. You want the full desktop applications, advanced Excel, Teams for meetings and the option to add stronger security and device management as you grow. Many regulated and professional firms find Microsoft the path of least resistance.
Choose Google Workspace if
Your team prefers lightweight, browser first tools and real time collaboration in Docs, Sheets and Slides. You are comfortable with Gmail and Google Meet and want a simple setup with fewer moving parts. It suits smaller teams, creative businesses and start ups that value simplicity and speed.
Email and calendars
Both give you professional email on your own domain, shared calendars, contacts and strong spam filtering. Outlook is more feature rich, particularly for complex calendars and shared mailboxes. Gmail is simpler and faster for many people. Either works well on phones.
Files and collaboration
Microsoft uses OneDrive and SharePoint, which are powerful but take some planning. Google uses Drive, which is simpler out of the box. Both support co authoring in real time. Think about what your customers send you and how they expect files back.
Security and compliance
Both support multifactor authentication, encryption and administrative controls, but neither is secure by default. Whichever you choose, someone must switch on multifactor authentication, limit administrator accounts, configure email authentication records and review settings regularly. This is where most small businesses go wrong.
Cost and licensing
Prices per user per month are broadly comparable at the entry level, and both have tiers that add security, device management and extra storage. Compare the plans for the features you actually need rather than the headline price, and remember that setup and support are real costs too.
Moving between them
Migration is possible in either direction, but it takes planning to keep email history, calendars and shared files intact. It is easier to choose well first than to move later.
