Business Email on Your Own Domain: Why It Matters and How to Set It Up

A free email address says you are a hobby. An address on your own domain says you are a business, and done properly it is more secure too.

Every email you send is a small advertisement for your business. An address that ends in a free webmail provider looks temporary and can sit uneasily with larger customers, while an address on your own domain looks established and professional. It also gives you control: you own the address, you can create and remove mailboxes as people join and leave, and you can protect the whole domain.

Step one: own your domain

Register the domain in your own name, using a registrar you control, with multifactor authentication on the account and automatic renewal switched on. Everything else depends on this, including your website and email.

Step two: choose a proper mail provider

For most small businesses the choice is Microsoft 365 or Google Workspace, both of which provide business email, calendars, storage and collaboration tools for a modest monthly fee per user. Avoid cheap bundled mailboxes from website hosting plans for anything important, because they are often limited and less reliable.

Step three: add the DNS records

To make email work, your domain's DNS needs records that point mail to your provider. These are called MX records. Your provider gives you the exact values. Take care when changing DNS, because a mistake can stop email arriving.

Step four: set up SPF, DKIM and DMARC

These three records prove your email is genuine and stop criminals sending fake messages in your name. SPF lists the services allowed to send for you, DKIM adds a signature that proves a message was not altered and DMARC tells receivers what to do with fakes. Without them, your legitimate email is more likely to land in junk and your domain is easier to abuse. Our free email security check shows how your domain looks today.

Step five: secure the accounts

Turn on multifactor authentication for every user, limit administrator accounts, use strong unique passwords and review sign in activity. Most email compromises begin with a stolen password.

Step six: back it up

Cloud email providers keep your data available, but they are not a full backup against deletion, malware or mistakes. An independent backup of mail and files gives you a way back.

Step seven: plan for people coming and going

Create a simple routine for new starters and leavers: create the mailbox, add the right access, then when someone leaves, convert or forward the mailbox and remove access the same day.
